Provides direction, team leadership, and management over the WBPCN administrative functions for the program and evaluation manager and actively manages financial processes and planning with the executive director (ED). Actively engages in business planning, financial reporting and routine budgeting; formulating forecasts and priorities based on administrative needs. Collaboratively engages with higher management in setting strategic priorities and objectives in order to appropriately direct the organization to meet goals established by the governance committee.
The administrative lead identifies and resolves day-to-day technical and operational problems and is accountable for the performance of the team from an administrative policy perspective. Identify need for and formulates organizational policy that clearly articulates expectations for staff performance and administrative procedure. This position is responsible for ensuring all team members maintain a thorough working knowledge of and enforcing adherence to such policy. The administrative lead trains, mentors, directly supervises, delegates work priorities to, and evaluates the WBPCN receptionists/front-desk secretaries. Such responsibility includes, but is not limited to, probationary and on-going training pertinent to client relations, professional courtesy, electronic medical record proficiency and use, and overall competencies relating to reception duties specific to the organization. This position establishes daily administrative priorities, delegating staff support as necessary, and maintains firm control over all administrative elements relating to organizational (e.g. anniversary celebrations, media events) or community events. This position is also responsible for orientating new hires and acts as a point of contact for all new staff. The administrative lead will chair some internal committees, including but not limited to the internal WBPCN health and safety committee. In the absence of management, the administrative lead will assume control and responsibility for decision-making and approval specific to the administrative role the manager would normally occupy and will work in conjunction with the WBPCN clinical lead to ensure responsible and timely organizational decisions are made that should not wait until management returns.
Salary/Benefits: This position is classified as a T2-1. Minimum $41,500.00 to maximum $58,000.00 annually.
This position requires the incumbent to have completed a university degree in business administration or related discipline, and possess at least 2 years of relevant administrative experience. Education may be substituted for extensive experience in a similar position.
Prior leadership experience in personnel management is required and the employee occupying this position must have excellent personnel and communication skills in order to navigate the complex personnel issues that arise on a daily basis.
Prior experience handling and coordinating cleaning and sterilization processes for instruments and SHARPS materials is considered an asset.
Simply Accounting knowledge and experience would be considered an asset.
In addition to a competitive rate of pay, AHS currently has a Fort McMurray Allowance in place to an annual maximum of $12,480. This allowance is non-pensionable and is payable on an hourly basis for all hours paid at the basic rate of pay.
